What a defensible request for quotation needs.
A generic request produces generic offers. A useful RFQ reduces interpretation and quickly filters out poor fits.
The request should specify quality and safety criteria, evidence supporting trust, and responsibility for follow-up and supervision. It should also define how the supply will fit into the buyer’s processes and how issues will be handled.
At minimum, it should identify:
- Product, grade, application and specification.
- Volume, frequency, format and tolerances.
- Destination, port, Incoterm and target date.
- Accepted or restricted origin and required documents.
- Sample, qualification, approval and decision process.
Upfront precision saves conversations, protects sensitive information and improves negotiation quality.
